What personal data do we process?

When you visit our website, fill in the contact form or the plan application form, get in touch with us, request a demo or a quote, or purchase the Roifex service, we may process the following data:

Identity: first name, last name, job title.
Contact: email address, phone number, company address.
Customer transactions: your requests, meeting notes, quote and contract information.
Finance: billing information and payment records.
Transaction security: the IP address, browser information, date and time recorded when you visit the website or submit the contact or plan application form.

For what purposes do we process your data?

To respond to your questions and requests.
To carry out demo, quote and contract processes.
To set up, provide and support the Roifex service.
To carry out invoicing and accounting.
To fulfil our legal obligations and respond to requests from competent authorities.
To ensure the security of our website and our service.
To send product and campaign announcements, if you have given your explicit consent.

Legal grounds and method of collection

We collect your personal data through the contact and plan application forms on our website, email, phone, meetings and contract processes, and, when you visit the website, automatically through server logs. We process this data on the basis of the following legal grounds set out in Article 5 of the KVKK:

The processing is expressly provided for by law (for example, the retention of invoices and accounting records).
It is directly related to the conclusion or performance of a contract.
It is necessary for us to fulfil our legal obligations.
It is necessary for the establishment, exercise or protection of a right.
It is necessary for our legitimate interests, provided that it does not harm your fundamental rights and freedoms.
Your explicit consent, in cases that require it, such as commercial electronic messages.

Who do we share your data with?

We may share your data with the following parties, only for the purposes above and only to the extent necessary:

Our hosting, email and accounting service providers: to operate the website and the service, to correspond with you and to carry out invoicing.
Our advisors, such as financial advisors and lawyers: to fulfil our legal obligations and to protect our rights.
Public institutions and organizations authorized by law: upon their request, to the extent required by the legislation.

Customer data in Roifex stores

The data controller for the personal data of the customers of a store running on Roifex is the owner of that store. CallTech processes this data as a data processor, solely to provide the service, on behalf of the store owner and in accordance with the store owner's instructions.

If you have shopped at a Roifex store, you can send your requests regarding your personal data directly to that store.

Retention period

We retain your personal data for as long as necessary for the purpose for which it is processed and for the periods stipulated in the relevant legislation. When these periods expire, your data is deleted, destroyed or anonymized.

Information you submit through the contact or plan application form is retained for a maximum of 24 months from the date of submission, unless it leads to a contractual relationship, and is automatically deleted at the end of this period.

Your rights under the KVKK

Under Article 11 of the KVKK, you may apply to us to:

Find out whether your personal data is being processed.
Request information about the processing, if your data has been processed.
Find out the purpose of the processing and whether your data is used in line with that purpose.
Know the third parties in Türkiye or abroad to whom your data has been transferred.
Request correction if your data has been processed incompletely or incorrectly.
Request the deletion or destruction of your data under the conditions set out in Article 7 of the KVKK.
Request that any correction, deletion or destruction be notified to the third parties to whom your data has been transferred.
Object to a result to your detriment that arises from the analysis of your data exclusively through automated systems.
Claim compensation if you have suffered damage due to the unlawful processing of your data.

How can you apply?

In accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, you can submit your requests to us in writing to our address, from your KEP address to our KEP address, with a secure electronic signature or mobile signature, or from your email address registered with us to iletisim@roifex.com.

Your application must include your first name and last name, your signature in the case of written applications, your Turkish identity number (for foreign nationals, your nationality and passport number or, if available, your identity number), your residential or business address for notifications, your email address and phone number, if any, and your request.

We will conclude your request free of charge as soon as possible, depending on its nature, and within thirty days at the latest. If the process involves an additional cost, a fee may be charged according to the tariff set by the Personal Data Protection Board.

If your application is rejected, if you find the response insufficient or if you do not receive a response in time, you may file a complaint with the Personal Data Protection Board within thirty days from the date you learn of the response and, in any case, within sixty days from the date of your application.

We may update this notice when necessary. The current version is always published on this page; the date of the last update appears at the top of the page.
